This Privacy Policy outlines how and why Basingstoke Pride treats your personal information, how we protect your privacy whilst doing so and your rights regarding your information.
Basingstoke Pride is a small organisation and we only collect information that better serves the LGBTQ+ community and those who have a genuine interest in our work.
The information that you share will allow us to keep you up to date with anything you are interested in such as volunteering, our events, marching with us and more.
We collect information in the following ways:
Information you provide directly – We may ask for information from you in order to sign up for our events, to keep you up to date with things you’ve told us you’re interested in, register as a volunteer or communicate with us.
If applying to volunteer with us, we may need to collect further information from you in order to process your application, which is deemed as Special Category data under the Data Protection Act 2018. This type of sensitive data will only be requested to ascertain your suitability, to ensure we have appropriate support in place – for example if you have a disability and require reasonable adjustments – any previous experience depending on the context, as well as any unspent criminal convictions or pending court cases you may have.
We only collect this type of information to the extent that there is a clear reason for us to do so. Wherever it is practical for us to do so, we will make why we are collecting this type of information clear and what it will be used for.
When using our website – we may collect information using “cookies” via Google Analytics. For further information on cookies, please see our cookie policy.
We will receive information about the type of device you’re using to access our website and the settings on that device may provide us with information about your device, including what type of device it is, what specific device you have, what operating system you’re using, what your device settings are, and what sites you visit before and after our website.
Information you provide indirectly – via third party sites, your information may be shared with us from third parties such as Eventbrite and MailChimp. Please check their privacy policies for further information.
Your information might be shared with us via social media and messaging services such as Facebook, Twitter, Instagram or TikTok should you publicly tag us or if you message us via our social channels. Please check the privacy policies for the social media services you use for further information.
We will only ever use your information as permitted by law.
How we use your information:
To respond to your requests or questions – Should you email us or message us via our social channels, we will use your information in order to respond to you.
For marketing purposes – Basingstoke Pride operates an “opt in” communication policy. If you opt in to our newsletter we may contact you about upcoming events, volunteering, community opportunities, requests for donations or other support. From time-to-time we may include information from partner organisations.
To improve our products or services – As Basingstoke Pride grows, we may occasionally send out surveys to gather customer feedback (that’s you!) in order to better tailor events, activities and initiatives for the local community.
For security purposes – We may use information to protect our organisation, our customers, the community and our assets, both physical and digital.
Sharing your information with other organisations:
We will never share, sell or rent your information to third parties for marketing or monetary purposes. However, we may share your information with third parties who process information on our behalf in order to carry out our services.
Where legally and/or regulatory obligated to, we will share information with the appropriate law enforcement agency, regulatory body, investigative body and/or where deemed appropriate to protect the rights, interests, property, or safety of Basingstoke Pride; it’s organisers, volunteers, customers or others.
We may share your information for reasons not outlined in this policy. We will inform you before we do so.
Managing your contact preferences
We make it clear when you opt in to our communications, that you can update your contact preferences at any time.
If you decided you would no longer like to be contacted for marketing purposes, we may still need to contact you for administrative purposes, for example if we need to contact you regarding volunteering activities you are carrying out on behalf of the organisation.
Keeping your information up to date:
Every three years, we will contact you to check if you are still interested in receiving communications from us. We will ask you to update your contact preferences and check if the information we hold is up to date. You can update your contact information and/or unsubscribe at any time.
Our website and social media are not intended for children:
Our website and social media are intended for adults. We do not knowingly collect personally identifiable information from children under the age of 13. If you are the parent or legal guardian of a child under the age of 13 whom you believe has shared their information with us, please contact us as soon as possible, using the subject title “COPPA Information Request”. Please see the Information Commissioner’s Office website for further information on the Children’s Code.
Data security measures:
We have put in place appropriate technical and organisational measures to prevent your personal data being accidentally lost, used or accessed in an inappropriate manner. We limit access to your data on a need to know basis for business purposes only, and anyone who has access to this information must abide by a duty of confidentiality. In the event of a suspected data breach we will notify both you and the appropriate regulator of a breach where we are required to do so.
How long we retain information for:
We will retain personal data collected via application forms for three years. We will retain financial information for seven years for tax and auditing purposes.
Your legal rights:
Under the Data Protection Act 2018, you have rights in relation to your personal data:
Access rights – The right to be provided with a copy of your personal data.
Rectification – The right to require us to correct any mistakes in your personal data.
To be forgotten – The right to require us to delete your personal data (in certain situations).
Restriction of processing – The right to require us to restrict processing of your personal data (in certain circumstances, e.g. if you contest the accuracy of the data).
Data portability – The right to receive the personal data you provided to us, in a structured, commonly used and machine-readable format and/or transmit that data to a third party (in certain situations)
To object – The right to object at any time to your personal data being processed for direct marketing; in certain other situations to our continued processing of your personal data, e.g. processing carried out for the purpose of our legitimate interests.
Policy updates:
Periodically we will update the Privacy Policy. We will notify you of any significant changes to this policy as required by law. We will do so via both the basingstokepride.co.uk website and by contacting you directly.
